With BookX, you can manage your staff by creating team members and assigning them to specific services. This helps streamline daily operations, prevent scheduling conflicts, and manage availability across services and locations.
How to create a team member
1. Go to the “Teams” page and click the “Create Team Member” button.

2. Enter team member name, optionally you can also add phone number and email.

3. Optionally, you can assign a team member to a specific location if you operate a multi-locations business.
To add location: Click “Add Location” → Select a location → Click the “Add” button.
Note: A team member can only be assigned to one location at a time to ensure realistic scheduling.
4. Enter how many appointments a team member can handle during a time slot to avoid overbooking. If a stylist can service 3 clients per slot, set the capacity to 3.
Note: Once you set the capacity here, you can select “Capacity by Team Member” in the Capacity Setup on the Service Availability Settings.
5. Click “Save” to add the member to the BookX app.
Note: You can set team member availability to manage team members effectively.
How to set team member availability
To update a team member’s working schedule, go to the “Teams” page, click on the team member’s name, and scroll down to the Team Member Availability section.
1. Set the work start and end time for each working day to reflect the team member’s availability.
2. Optionally, add breaks to avoid bookings during lunch breaks or other rest periods.
To add break: Click “Add Break”→ Set the start time and end time → Click the “Add” button.
3. Optionally, set block out dates and time to prevent booking during vacations, time off, or other unavailable periods.
To block out date: Click “Add Block Out Date & Time” → Select the date or range of dates → Click “Ok” button.
To block out time: Enable “Set time range” → Set the start and end time → click the “Add” button.
4. Click “Save” to add the team member.
