Why Are My Booking Slots Missing or Incorrect?
If customers can't see the time slots or dates you expect — or the slots showing are wrong — work through the checks below in order. Most issues are caused by one of these settings.
1. Check Slot Configuration
- Go to Services.
- Select the service where slots or dates are missing or incorrect.
- Open Slot Configuration and confirm that availability has been set up correctly for that service.
2. Check Blockouts
Still in Slot Configuration, check whether any blockouts have been added. A blockout will hide time slots on the dates or times it covers, even if availability looks correct otherwise.
3. Check Existing Bookings and Capacity
- Go to Bookings and check whether bookings already exist for the date or time in question.
- Go to Services > Availability Settings and review the capacity configuration.
If a slot has reached its maximum capacity, it will no longer appear as available.
4. Check Lead Time and Booking Window
Within the service settings, check:
- Lead Time — the minimum notice required before a slot can be booked. If lead time is too long, near-term slots may not appear.
- Booking Window — how many days in advance customers are allowed to book. If the window is too short, later dates won't be shown.
5. Check Slot Visibility Rules
Under Availability Settings within the service, check whether any visibility rules have been configured. These rules can restrict which slots are shown to customers.
6. Check Location and Team Member Settings
If the service-level configuration looks correct, check the location and team member assigned to it:
- Working hours — confirm both the location and team member have the correct working hours set.
- Blockouts — check for blockouts configured at the location or team member level.
- Time zone — confirm the location's time zone is set correctly.
- Capacity — check capacity settings for both the location and the team member.
- Linking — confirm the team member is correctly linked to the location, and that both are properly assigned within the service.
7. Check Google Calendar Sync
Google Calendar sync can block out slots if it's not configured as expected. Check this at both the location and team member level:
- Go to Settings > Integrations.
- Check whether a Google account is connected.
- Check whether Sync Google Calendar to manage appointment availability is enabled.
- If it's enabled, disable it and save.
- Recheck the slots to see if they now display correctly, or if certain dates were being blocked by Google Calendar events.
Repeat the same steps under the relevant team member settings.
Why this matters: If an event is created directly in Google Calendar (outside of BookX) and calendar sync is enabled, BookX will automatically block the matching slot. Disabling the sync setting helps confirm whether this is the cause.
8. Check Time Zone Settings
- Check whether Automatic Time Zone is enabled.
- Compare the store's time zone with the location's time zone to confirm they match as expected.
Mismatched or auto-detected time zones can cause slots to appear on the wrong date or time.
